Job Detail: Administrative Assistant

The Administrative Assistant supports the Firm Administrator and other administrative
staff by performing a variety of administrative tasks. $16 to $18 hr + benefits.

This position assists the Firm Administrator with
Payment of firm bills
Processing newly hired employees
Processing exiting employees
Notices for employees
Time reports for staff
PTO reports for staff
Schedules for staff
Benefits for employees
Facilities management
Maintaining attorney biographies
Updating website, publications, etc.
Implementing new policies and procedures
Office supplies
Maintenance of equipment
Recycling of equipment

This position assists other administrative personnel (courier, medical records clerk,
billing, reception) with
Front desk coverage
Answering phone calls, screening when necessary
Welcoming and directing visitors
Maintaining kitchen – dishes, cleanliness, supplies
Maintaining conference room – clearing dishes, cleanliness, organization
Filing
Closed files

This position requires that the individual be able to
Maintain confidentiality of all firm and client information – both inside
and outside of the firm
Competently communicate verbally and in writing
Maintain professional, cordial and cooperative interpersonal and customer
service relationships.
Use the Microsoft Office Suite – Excel, Word and Outlook
Organize
Approach tasks with an attention to detail
Understand clerical procedures and systems such as recordkeeping and filing
Work independently with little supervision
Learn new software
Meet deadlines
